One System, One Student Record
1. The Problem
Every office at the university kept its own records. Grades went back and forth between committee members as spreadsheets. Admission files sat in folders. Accounting only learned a student hadn't paid when someone happened to ask. The same student was entered in five different places, and those five records rarely matched.
2. How We Addressed It
We brought every office into one shared system. Each office works in its own space and sees only what it's responsible for. All of them work from the same student record. Seven departments are running today: Employees Affairs, Accounting, Grades & Results, Application & Admission, Calendar & Events, Management and the LMS. The remaining offices are being built now.
3. In Between The Lines
The screens weren't the hard part. The hard part was the rules nobody had written down: who has to sign off results before they're final, how a supplementary exam changes a student's standing, and what a student owes once they pass the interview. We sat with the staff who apply these rules every day, until the system worked the way they already do.
4. The Final Output
A student can now apply, get admitted, pay fees, attend classes on the LMS and check approved results, all from one place with one login. Staff no longer spend their days checking one spreadsheet against another
